1. Introduction
Dwaar AI is a gate management and community operations platform built by Entriva Technologies Pvt. Ltd. ("Dwaar AI", "we", "us", "our"), used by Resident Welfare Associations, management committees, corporate parks and standalone buildings across India to manage entry, visitors, guard operations and community administration.
This policy explains what personal data we collect from residents, visitors, staff, guards and site administrators, why we collect it, how it is stored and protected, and what choices you have. It applies to our website, the Basera resident app, the Nazar guard app, the RWA admin portal, and the FASTag, ANPR and facial recognition hardware installed at your community's gate.
By using Dwaar AI, whether as a registered resident, a visitor whose vehicle or face is scanned at a gate we operate, or an administrator managing a community, you agree to the practices described in this policy. If you do not agree, please do not use our platform and let your community's management committee know.
2. Information We Collect
We collect different information depending on how you interact with Dwaar AI.
From residents and account holders
- Name, phone number, email address and unit or flat number
- Vehicle registration number and FASTag identifier linked to your vehicle
- Photographs you choose to upload for identification within the resident app
- Visitor, staff and domestic help entries you approve or register
From visitors, staff and delivery personnel
- Name and phone number provided at the gate or through a resident's approval
- Vehicle number, if arriving by vehicle
- A photograph captured by the gate camera at the time of entry, for verification and the visitor log
From guards and site staff
- Name, phone number and shift records logged through the Nazar guard app
- Attendance and shift handover data, including timestamped entries
Device and usage information
- IP address, device type and browser information when you visit our website or use our apps
- Log data such as pages visited, features used and app crash reports, used to improve the platform
3. Facial Recognition Data
Dwaar AI's gate hardware uses facial recognition as one of three verification layers, alongside FASTag and automatic number plate recognition (ANPR). We are adding this section specifically because facial recognition involves biometric data, which requires a higher standard of care and transparency than most other personal information we handle.
What we collect
When a person approaches a Dwaar AI enabled gate, the entry camera captures a facial image. For registered residents, staff and guards, this image may be converted into a mathematical facial template, a numeric representation used only to check whether a face matches a previously enrolled, authorised profile. The system does not attempt to determine a person's identity from the open internet or any external database; it only compares against faces enrolled by your community's administrator.
Why we use it
Facial recognition exists to verify people entering on foot, such as residents, domestic staff, delivery personnel and guards during shift changes, who are not covered by vehicle based checks like FASTag or ANPR. It is a backup and convenience layer, not the only way to gain entry.
Enrollment is opt in for residents
Residents are not required to enroll a facial profile to use Dwaar AI. Vehicle entry works through FASTag or ANPR regardless of facial enrollment, and any resident, visitor or staff member can always be verified manually by the guard on duty. Where facial enrollment is used for staff or guards for attendance purposes, your community's management committee is responsible for obtaining the necessary workplace consent before enrollment.
How facial data is stored and protected
- Facial templates are stored in encrypted form, separately from a person's name, phone number or address
- Facial data is used only for entry verification and attendance logging within your community's own Dwaar AI account, and is not pooled, compared or shared across other communities or customers
- We do not sell, rent or use facial recognition data for advertising, profiling or any purpose outside gate entry and attendance
- Access to facial data is restricted to systems and authorised personnel that need it to operate the gate and resolve entry disputes
Your choices
You can ask your community's administrator to remove your enrolled facial profile at any time, after which entry continues to work through FASTag, ANPR or manual guard verification. Visitors and non-enrolled individuals whose photograph is captured for the visitor log can request that record's deletion, subject to the retention rules in Section 8.
4. How We Collect Information
We collect information in the following ways.
- Directly from you, when you register on the Basera app, fill a form on our website, book a demo, or contact our sales or support team.
- From your community's administrator, when they add you as a resident, register your vehicle, or enroll staff and guards on your community's behalf.
- Automatically through our hardware, when the FASTag reader, ANPR camera or facial recognition camera at your gate captures data as part of an entry event.
- Automatically through our website and apps, using cookies, log files and analytics tools, as described in Section 10.
5. How We Use Your Information
We use the information described above to:
- Verify vehicles and people at the gate through FASTag, ANPR and facial recognition, and maintain an accurate entry and exit log
- Operate the Basera resident app, Nazar guard app and RWA admin portal, including visitor approvals, attendance and shift handovers
- Respond to support requests, demo bookings and sales enquiries
- Detect and prevent fraud, tailgating, unauthorised entry and other security incidents
- Improve the reliability, accuracy and usability of our hardware and software
- Meet legal, regulatory and audit obligations that apply to us or to your community
We do not use resident, visitor, staff or guard data for advertising, and we do not sell personal data to third parties.
7. Data Security
We apply industry standard safeguards to protect your information, including encryption of data in transit and at rest, role based access controls so that staff only see the data needed for their role, and regular review of our systems for vulnerabilities. Facial recognition templates receive additional protection as described in Section 3.
No system is completely immune to risk. If a security incident affects your personal data, we will notify affected users and the relevant authorities as required by applicable law.
8. Retention and Deletion
- Visitor entry and exit logs, including gate camera photographs, are retained for a limited period to support security investigations and community audits, after which they are automatically deleted unless your community's administrator has configured a different retention period.
- Resident, staff and guard account data is retained for as long as your account is active with your community, and for a reasonable period afterward to meet legal, financial or dispute resolution requirements.
- Facial recognition templates are deleted when a resident, staff member or guard is removed from your community's account, or on request as described in Section 3.
You can request earlier deletion of your data by contacting your community's administrator or writing to us directly using the details in Section 13, subject to any legal obligation we may have to retain certain records.
9. Your Rights and Choices
Depending on your relationship with Dwaar AI and applicable law, including India's Digital Personal Data Protection Act, 2023, you may have the right to:
- Access the personal data we hold about you
- Correct inaccurate or outdated information
- Request deletion of your data, subject to legal retention requirements
- Withdraw consent for facial recognition enrollment, without affecting your ability to enter through FASTag, ANPR or manual guard verification
- Raise a grievance about how your data has been handled
To exercise any of these rights, contact your community's administrator or reach our team directly using the details in Section 13.
11. Children's Privacy
Dwaar AI is intended for use by adults managing or residing in a community. Where a gate camera captures the image of a minor accompanying a resident or visitor, that image is treated with the same protections as any other visitor entry record and is not used for any purpose beyond gate security and the visitor log.
12. Changes to This Policy
We may update this policy from time to time to reflect changes in our practices, our products, or applicable law. We will update the "Last updated" date at the top of this page whenever we make a material change, and where required by law, we will notify your community's administrator or residents directly.
